Pass on the original request, the facts already confirmed and one clear next action. Name the person taking that action and check that they have accepted it. A forwarded message alone leaves them to guess whether they should reply, assess the work or wait.
This matters when the business owner, office contact and person out on jobs handle different parts of an enquiry. A useful intake record gives the handover something stable to refer to; the actual coordination remains a team routine.
Keep the starting request available
Begin with the enquiry reference and read the customer’s own description. Retain useful photos with the original request rather than forwarding them into several unrelated chats. Pass only the details the receiving person needs through your normal secure work channel.
Check the latest conversation before preparing the handover. The customer may have clarified the scope or changed their availability since submitting the form. A tidy summary of an old message can still send a colleague in the wrong direction.
Copy this five-line handover
Use your existing job record or internal communication tool. This is a manual template, not a new field or assignment feature in Enquiry Fox.
- Request: enquiry reference, requested work and relevant site.
- Known: useful facts already supplied, including contact preference.
- Agreed: what the business actually promised the customer.
- Open: the question or decision still needed.
- Next: named person, action and realistic check time.
Worked example: office to the person assessing the job
Fictional handover: “E17: customer wants planned lighting changes in a home office. Known: room use described; email preferred. Agreed: we will explain the assessment step, with no visit booked. Open: whether we can consider next month. Next: Sam checks capacity tomorrow morning and sends the first reply.”
Sam now has a decision to make rather than a vague instruction to “deal with E17”. If Sam cannot take it on, the original handler still knows to arrange another next step. Ownership changes when the colleague acknowledges it, not merely when a message is sent.
If the customer was promised a reply before that internal check, resolve the mismatch immediately. The customer should not have to discover that your handover moved the response date.
Separate a shared process from shared credentials
Decide who is authorised to review the enquiry inbox and how the necessary brief reaches other workers. Use the access arrangements actually available to your business; do not share an account password to make a handover easier.
Enquiry Fox provides the saved enquiry and manual follow-up statuses. Staff assignment, internal notes and the discussion with your colleague belong in your existing process. A contacted or booked label summarises progress but does not tell someone every detail they need to perform the work.
Assess the intake improvement separately
If colleagues struggle because the first message lacks context, try the Enquiry Fox demo and write a handover from its example inbox. Check whether the request, contact details and photos give you a better starting point. If your main need is staff scheduling or task assignment, include that requirement explicitly when assessing software; this form-and-inbox workflow does not provide it.
